Community Events Coordinator

Job Description
Manage and/or assist all community, academic, non-fundraising events for Western Academy. Coordinate planning of events with event chairs, volunteers, and faculty/staff.

PROJECT MANAGEMENT

  • Select volunteer co-chairs, run kick off/ongoing meetings, and prepare working binders for each event with event description, tasks, budget, etc.
  • Work with Administrative Council to maintain vision of the school in event execution
  • Work with outside graphic designer to prepare marketing material for events including signage, invitations, flyers, posters, etc.
  • Work with outside printing company to ensure all marketing material is delivered in a timely manner
  • Work with IT Department to create online forms and collect data for event registration and communication
  • Work with Maintenance Staff on the display of event signs, event layout, and any other work needed for events
  • Work with Director of Operations to develop project budgets and closeouts
  • Obtain quotes and select various vendors including caterer, rentals, servers, etc.
  • Maintain and organize event files
  • Work with Volunteer Coordinator to request volunteers needed for each event
  • Assist in event check-in on the day of the event

ADMINISTRATIVE

  • Meet and coordinate with other administrative staff regarding activities and events on a weekly basis or as needed
  • Will assist in a variety of community and academic events
  • May be asked to assist in various administrative tasks
  • May be asked to assist in fundraising events

QUALIFICATIONS

  • Understands vision/mission of the school
  • Project management experience (start to finish)
  • Strong leadership qualities and comfort in leading meetings and managing different function groups
  • Team player and problem solver
  • Adaptable and works well under pressure
  • Able to manage several projects simultaneously
  • Excellent communication skills
  • Proficient in Microsoft Word and Excel
  • Knowledgeable of auction/check-in programs a plus
  • Past work experience in a school or other organization a plus
  • Eye for the good and beautiful

WORK HOURS AND BENEFITS

  • 20-24 hours per week during the school year. Work days will be defined prior to start date. Position requires work on a few evenings and weekends.
  • Reduced summer hours
  • School calendar holidays and breaks

Job Description

  • Build relationships and engage businesses and corporations for event underwriting
  • Assist in grant writing with Development Office
  • Work with Administrative Council and Development Office for a unified development vision in fundraising events

ADMINISTRATIVE

  • Meet regularly with the Director of Development and Director of Operations on fundraising event outlook
  • May be asked to assist in various administrative tasks
